The Administrative Professional provides a welcoming, professional first impression of Ampact to members, employees, and visitors. Responsibilities include receiving internal and external calls and directing members, visitors, and deliveries to the appropriate individual(s) within the organization. The Administrative Professional provides administrative support to Ampact’s Executive Leadership team and Facilities Manager. This position will observe the confidentiality of all employees, AmeriCorps members and organizational matters.
Receptionist (30%): As the front desk receptionist for the Ampact office, this position is responsible for greeting and assisting all visitors, answering, and routing phone calls to the appropriate staff member, and maintaining professional communication via phone, email, and mail. Acts as main point of contact for internal and external clients. Is an enthusiastic teammate who is willing to take on anything from small internal administrative tasks to high profile requests. Administrative Professional will be in the office full-time.
Administrative Support (20%): Provide administrative support to Executive Leadership and the Facilities Manager. Support includes scheduling and set up for meetings, including monthly All Staff meetings. Manage copy services, shipping arrangements, and office supplies and equipment for regional locations including office equipment and set-up. Manages mail and distribution services, office reception, office equipment, utility services, and communication systems for Ampact’s primary location in Minneapolis, MN.
Facilities Support (20%): Assists Facilities Manager in evaluating and improving office production. This includes:
Assist in developing and revising office policies and procedures for improved workflow.
Assisting in monitoring the budget for office-related items and staff ordering and maintaining office supply inventory. Coordinating equipment maintenance and repair, assisting with printing and mailings.
Supporting the process for onboarding and deactivating employees’ online accounts.
Reconciling weekly credit card expense report.
Acting as a liaison with the building cleaning and maintenance crews.
Creating and maintaining an organized and tidy office environment.
Updating and managing employee blog “Inside Arrow.”
Recruitment Inquiries (15%): This position is responsible for answering the phone line and email inquiries specific to AmeriCorps member programs and recruitment inquiries.
Event Arrangements and Logistics (10%): The Administrative Professional will assist with event bookings, registrations for staff, and support Executive Leadership with the planning of staff retreats and events, including catering and agenda support.
Other Duties as Assigned (5%): Under the direction of the Facilities Manager, support other departments and handle diverse administrative projects, including overflow work from other departments.
Minimum Education
Minimum Experience
Proven experience in an Administrative Professional or similar role
Excellent social skills and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors
Ability to engage visitors, staff, and members to provide positive customer service experience
Strong problem-solving and organizational skills
Proven ability to create a positive experience for others in a fast-paced environment
Proven ability to work well with others and on teams
Effective communication skills, both verbal and written
Work independently
Demonstrated ability to show initiative and be proactive
Excellent time management skills with ability to prioritize and multi-task
Attention to detail and problem-solving skills
Knowledge of office management systems and procedures
Proficiency in MS Office (MS Word, MS Excel) and use of computers
Familiarity with or interest in education and/or social causes
