Overview

El Salvador’s Strengthening Human Rights Systems (SHRS) is a program funded by the United States Agency for International Development (USAID) and implemented by Counterpart International (Counterpart) in partnership with local and international organizations. The SHRS Program will be implemented in El Salvador until January February 2025. Counterpart is currently seeking an Administrative Assistant responsible for supporting the daily operations of the SHRS Human Rights technical team.

Primary duties include overall operational coordination of the technical team, including initiating and following up on procurement actions, supporting and coordinating the writing of reports, and meeting preparation. This position requires the ability to manage multiple tasks. The incumbent is to be a well-organized, resourceful individual, with impeccable customer service skills, who enjoys a workplace that is fast paced, collegial, and professional. The Administrative Assistant will report to the Human Rights Team Lead. This is a full-time position based in San Salvador, El Salvador. Salvadoran citizens are strongly encouraged to apply.

Responsibilities

The Administrative Assistant of the Human Right Team will be responsible for carrying out the following tasks:

  • Manage Technical COP and Human Rights Team agendas and coordinate transportation when required;
  • Coordinate logistics for Human Rights Team meetings, events, trainings, and staff meetings.
  • Prepare and follow up on procurement requirements, including consultant services, events, and other goods and services.
  • Prepare reports related to weekly and monthly Human Right Team activities.
  • Keep Human Right Team’s Outlook calendars updated.
  • Collect attendance lists, materials, presentations, invoices and other documents related to activities of Human Right Teams.
  • Act as the point of contact with internal staff and external stakeholders for administrative purposes.
  • Provide input for the Human Rights Team for the Project’s workplans, quarterly reports, and other documents.
  • Prepare internal and external invitations to activities and meetings of Human Rights Team.
  • Maintain the Team’s indicator inputs updated for reporting to Project’s Monitoring, Evaluation, and Learning team.
  • Prepare aide-memoires of meetings.
  • Other duties as assigned by the Human Rights Team Lead, Technical Chief Of Party, or the International Director.

Qualifications

  • Graduate university in business administration, international relations or other related with the position; or five years of experience in a similar position;
  • Excellent oral and written communication skills;
  • Highly organized with an attention to detail;
  • Excellent customer service skills;
  • Strong skills in Microsoft Office applications (Outlook, Teams, Word, Excel, PowerPoint);
  • Ability to work independently, prioritize and multi-task;
  • Ability to take direction and work well with others;
  • Flexible and solution-oriented;
  • Interest in the subject matter of human rights and security;
  • Previous experience in managing vendors and/or procurement processes preferred;
  • Professional attitude and demonstrated ability to handle sensitive and confidential information;
  • Preferable with knowledge and experience working with international cooperation, especially USAID-funded projects; and
  • Proficiency in English language skills a plus.
