Overview

ABOUT THE POSITION

VHB is seeking an experienced Administrative Assistant to support a wide variety of administrative projects for our Orlando office.

Responsibilities

  • Provide administrative support to office personnel

  • Clerical duties such as answering phone calls, responding to emails, and preparing documents, including office correspondence and presentations

  • Support facility operations with regards to supplies and equipment

  • Work closely with project managers and Finance team to support administrative functions and processes, such as:

  • Assisting with Project Set Up

  • Assisting with the preparation of contracts and amendments.

  • Coordinating contract terms and conditions review with internal Legal Counsel and clients.

  • Assisting with the preparation of sub-consulting agreements

  • Coordinating issuing Certificates of Insurance with our insurance company

  • Assisting with monthly progress report preparation

  • Coordinating with subconsultants and vendors for accounts payables

  • Change agent for strategic and tactical improvements

  • Proficient in Microsoft Suite (Word, Excel, Outlook, Teams, Access, PowerPoint, Project, Visio)

Qualifications

  • High school diploma or GED
  • 2-5 years of office administration experience
  • Experience working with multi-disciplinary engineering firm a plus

Hiring Salary Range: $19/hr - $24/hr.  However, the final agreed-upon compensation is based on individual education, qualifications, and experience.
