PURPOSE OF THE POSITION
As the administration Officer, you will support the administration and logistical functions of the Helpline Service ensuring that the Helpline office is running smoothly, and activities are implemented on time.
KEY DUTIES
- Provide day to day administration duties, liaison and logistical support for Helpline operations and project activities including; answering all main helpline office telephone calls, transferring calls and taking messages as required, visitors are welcomed, ensure office supplies, sundries are in stock etc; event planning and, support to consultants etc.
- Maintain regular contact with IT and telecommunications service providers; trouble-shooting where necessary and ensuring all infrastructure is fit for purpose and there is service quality and continuity.
- Provide procurement and logistic support to all tasks as required.
- With support from the senior counselling team conduct the monthly rostering.
- Provide support to the data officer in maintaining the Service Provider Directory and database.
- Support strengthening of administration systems ensuring relevant forms and admin protocols are printed, shared with staff and stored.
- Will oversee store rooms and asset register updating.
- Strengthening administration systems and processes including office administration filing system.
- Ensuring effective COVID hygiene management and adherence to agreed COVID protocols in the helpline office and in helpline vehicle, admin and stationery sign off.
- Ensure compliance with CFPNG finance and procurement policies
QUALIFICATIONS & EXPERIENCE
- Tertiary qualifications in administration and/or HR
- At least 3 years’ administrative work experience
- Excellent work ethics including; attendance, timekeeping, meeting deadlines, respect for others and willingness to share information
- High level administration and organisational skills, ability to prioritise heavy and varied workload
- Experience in asset register and establishing routine systems.
- Competent in office administrative duties by ensuring office stationery and sundries are maintained effectively
- Excellent telephone manner and face to face communications, has experience of carrying out reception duties
DESIRABLE
- Ability to coordinate administration and logistics functions to ensure effective and efficient service
- Some experience in basic human resources duties
- Experience in working with NGOs/international development sector
- Understanding of Gender-based violence and contemporary practices.
